GENERAL: Nishnawbe Aski Police Service requires two (2) Scanning/Digitization Students. These student positions are full-time for 8 weeks, and sponsored by the Ontario Government’s Youth in Policing Initiative. The positions are based out of our General Headquarters in Thunder Bay, ON. The normal hours of work will be Monday-Friday, 40 hours per week.

Job Summary:
The position will provide digitization and administrative support to the Human Resources, Finance, and Executive Departments, and will support NAPS’ efforts to go paperless; perform a wide variety of support duties including but not limited to faxing, scanning, photocopying. The Digitization Student will work with sensitive materials that require care and handling. Experience in a professional setting would be considered an asset.

Eligibility Requirements:
• Must be 18 years of age;
• Must be returning to High School in 2024, if 18 must have graduated, must be attending post-secondary school in the fall;
• Must be a Canadian Citizen or Permanent Resident, and eligible to work in Canada (*SIN Card);
• Must be able to successfully pass a criminal background check;
• Available for the duration of the program (July 2 to August 23, 2024);
• Preference for Indigenous Youth.

Key Responsibilities:
• Sort files and documents;
• Ensure completeness of files, taking paper files, scanning and uploading digitalized administrative and other files and information into a repository in accordance with established procedures;
• Prepare records for digitization (separating a variety of records, preparing paper documents for digitization, removing staples, binding and removing paperclips);
• Produce digital copies of files and documents for company records and operational needs;
• Ensure documents are scanned accurately, with clear images, and filed into the appropriate folders, with reference to NAPS retention policy;
• Work with individuals from different departments to ensure efficient scanning and uploading;
• Answer and transfer phone calls, take messages;
• Redirect and send emails to clients/colleagues;
• Data Entry;
• Interact effectively with NAPS staff in a respectful manner;
• Act promptly on requests for information;
• Other duties as assigned.
