Are you passionate about providing support and direction in an (EMS) operation to ensure high quality patient care is delivered in a timely and efficient manner? We’re seeking a dedicated individual to join our team as an IES EMS Administrative Assistant. The EMS Administrative Assistant is responsible for managing inventory levels, monitoring supply usage and the budget, ordering supplies, scheduling, reporting, maintaining the HRI database, and providing logistical support to minimize disruptions to operational readiness. The role will report to the EMS Chief.

Responsibilities:

  • Providing sound leadership through communication, ethical decision making, and commitment to achieving established goals and objectives, ensuring outcome measurements and standards are enforced.
  • Maintains knowledge of current strategic and tactical methods of emergency medical response.
  • Direct development and implementation and oversight of programs to ensure staff meet educational and professional requirements to maintain provincial registration and medical control protocol qualifications.
  • Keep abreast of new technologies and developments in the EMS field and make recommendations to upper management on how to incorporate them into operations.
  • Maintain Service Databases to meet regulatory and statutory requirements.
  • Assists the Chief Emergency Medical Services with the preparation of reports and presentations on EMS activities for upper management, community groups.
  • All employees who work at IFNA cover for each other during vacation, if someone is away sick or if there are demands on the organization that require extra time and effort to complete. This means occasionally they be asked to do tasks outside the normal scope of their position.

Position Requirements:

  • 5 years of proven experience in a senior administrative role preferably in emergency services
  • 5 years of experience with sourcing and purchasing of medical equipment
  • Supervisory or managerial experience is an asset.
  • Experience and certifications in Project Management – Lean Six Sigma and Operations Management is an asset.
  • Demonstrated knowledge of local, provincial, and federal laws, ordinances, and regulations pertaining to emergency management
  • Familiarity with Monday.com and Vairkko
  • Proficient in the use of MS Office including Word, Excel and Outlook
  • First Responder/ Emergency Medical Responder training preferred
  • Incident Command System/Incident Management System certification ICS/IMS 100, 200 and Scribing preferred
  • Basic Emergency Management Certification BEM 200 preferred
  • Driver’s license G with clear driving abstract and available reliable vehicle
  • Clear Criminal Record Check with Vulnerable Sector
  • Willingness to travel for IES events/meetings/emergencies.
  • Ability to maintain a high level of confidentiality when handling sensitive information.
  • Understanding of Indigenous history, traditions, and beliefs with the ability to implement cultural values and practices within the delivery of services; Ability to speak Ojibwe or Oji-cree is an asset.
  • Familiarity of Indigenous communities and organizations; experience working for an Indigenous organization.

Salary Range: $30-$40/hour

Schedule:  Regular hours from Monday to Friday with weekends, overtime and on-call availability.
