Summary:
Under the direction of the Director of Sustainable Development, the Administrative Assistant will provide administrative and community outreach support for the Sustainable Development Department. We are looking for a professional individual with a growth mindset, innovative thinker, and great potential to join our growing team.

Summary of Duties:
➢ Ensure the building is secure and locked up at the end of the day;
➢ Answer the telephones, forward calls, and take messages;
➢ Filing, file management and data entry;
➢ Administration such as filing, copying, printing and taking meeting minutes;
➢ Ensure office space is neat, organized and presentable to visitors;
➢ Update community boards with necessary information;
➢ Supply shopping, deliveries and errands for office;
➢ Preparation for internal meetings, tech set up, catering, set up/clean up;
➢ Assist in SD staff with consultation, community outreach activities, community meetings and department events including set up, advertising, organize catering, etc;
➢ Other duties related to department as assigned.

Qualifications: The ideal candidate will meet or exceed the following qualifications. The list of qualifications will be used to develop a screening tool. It is the responsibility of the candidate to communicate their expertise and experience in identified areas.

➢ Grade 12 diploma or equivalent;
➢ Must have a valid driver’s license, a clean drivers matrix and access to a personal vehicle, if needed;
➢ Willingness to work flexible hours, if needed;
➢ Administration experience required;
➢ Excellent oral communication, writing and design skills;
➢ Ability to work well as an individual or as a team;
➢ Positive attitude and ability to interact and engage with staff, public and community;
➢ Motivated, takes initiative and requires very little supervision;
➢ Great organizational, time management and multi-tasking skills;
➢ Must be able to effectively use Microsoft platforms, publishing and design programs.
