Human Resources & Academic Services Officer

Location: Catholic Education Centre, Terrace Bay, ON.
Salary: $91,627.27 – $97,700.41 Competitive Pension and Benefi ts Packages

The Superior North Catholic District School Board is inviting applications for the position of Human Resources & Academic Services Offi cer. Under the supervision of the Human Resources Manager, this position plays a pivotal role in supporting both Human Resources Operations and Educational Leadership across the system.

This role is responsible for assisting and coaching Board leaders in the administration of supportive absence management programs and procedures. It ensures that employee absences are managed compassionately and effectively while maintaining operational continuity.

In addition, the position is responsible for the accuracy and integrity of employee attendance records, is the fi rst point of contact for attendance-related inquiries, and ensures the smooth daily operations of the Human Resources team through the monitoring of attendance, managing records, generating reports, and administrative support.

Beyond attendance and Human Resources functions, this role also supports Educational Leadership and organizational excellence by coordinating departmental communications, overseeing meetings and events, preparing detailed reports and presentations, and supporting Ministry of Education reporting and compliance processes.

Key Responsibilities:

Absence Management & Attendance and Human Resources Operations Support:
● Assist and coach Principals/Supervisors in the application of absence management procedures that support employees while meeting operational needs.
● Assist in the preparation and distribution of attendance reports to relevant departments
● Assist in the implementation of attendance support policies and procedures
● Maintain the attendance management system including data integrity and accuracy
● Serve as the fi rst point of contact for attendance-related inquiries.
● Monitor daily attendance and absences; fl ag issues for follow-up.
● Collaborate with the Human Resources Team, applicable departments, and stakeholders to determine necessary courses of follow-up
● Support the Human Resources Team in maintaining organized, accurate, and confi dential employee records.
● Assist with compliance monitoring for attendance and disability support procedures.
● Support special projects, including policy reviews and procedural updates.
● Performs other duties as assigned.

Educational Services & Administration:
● Provide high-level administrative support to Senior Leadership.
● Manage meeting logistics, including scheduling, agendas, minute-taking, and event coordination.
● Draft and prepare detailed memos, reports, presentations, and communication materials.
● Track and monitor departmental expenditures, maintaining records for audits and compliance purposes.
● Assist with data collection and reporting for Ministry submissions and internal planning.
● Liaise with school administrators and System Leads to ensure smooth execution of educational programs and initiatives.
● Performs other duties as assigned.

Qualifications and Experience:
● Post-secondary diploma or degree in Human Resources, Business Administration, Offi ce Management, Public Administration, or a related fi eld;
● Minimum 5 years of related experience in human resources, educational administration, or disability management, preferably in a school board or broader public sector environment.
● Knowledge of relevant Ontario legislation, including the Employment Standards Act, Occupational Health and Safety Act, Human Rights Code, Accessibility for Ontarians with Disabilities Act (AODA), and Municipal Freedom of Information and Protection of Privacy Act (MFIPPA).
● Demonstrated experience in supporting attendance or disability management processes, including return-to-work and accommodation planning.
● Demonstrated ability to prioritize competing tasks and manage and meet Ministry and board deadlines with accuracy.
● Strong analytical skills and attention to detail in handling data, records, and reports.
● Demonstrated commitment to equity, inclusion, and cultural responsiveness.
● Demonstrated expertise in managing calendars, travel arrangements, and event planning;
● Experience coordinating professional development sessions, including managing RSVPs, booking venues/travel, and ensuring cost recovery from Ministry reimbursements;
● Superior communication and interpersonal skills to interact effectively with internal and external stakeholders;
● Profi ciency in drafting professional correspondence, developing presentations, and assembling detailed reports;
● A high level of digital fl uency, including comfort with productivity tools and collaborative platforms (Google Workspace preferred), with the ability to maintain shared calendars and forms;
● Strong research skills and the ability to synthesize information for decision-making;
● Capacity to work independently while maintaining high standards of discretion and confi dentiality;
● Previous knowledge and experience in the Ontario education system, and the Ministry of Education protocols and reporting structures; and
● Capable of tracking, compiling, and auditing detailed fi nancial and student records.

Assets:
● Knowledge of special education terminology, documentation, and compliance processes is an asset;
● Certifi cation or coursework in Disability Management or Attendance Management.
● Familiarity with Safe Schools, NTIP, Accessibility standards, and Ministry reporting expectations
● Experience with HRIS/Payroll software, eBase, or Apply to Education
● Willingness to support other departments and assume executive assistant duties for the Director of Education, as needed;
● Participation in mandatory Board Professional Development; and
● Must hold a valid Driver’s license and own a reliable vehicle as travel will be required.

Conditions of Employment:
● Must undergo a successful Vulnerable Sector Screening check; and
● Successful Completion of all Safety training courses
