Position Overview
We are looking for a motivated and detail-oriented Events Assistant to support the planning and execution of live events. This is an opportunity to gain hands-on event experience, work with a creative, fast-paced team, and contribute to projects from strategy through post-event evaluation. The ideal candidate is organized, adaptable, enthusiastic about events and experiential marketing, and ready to jump in where needed.
Key Responsibilities
- Assist with event planning and logistics: venue sourcing, vendor liaison, travel, and accommodations
- Maintain detailed event timelines and checklists; track task progress and ensure deadlines are met via Monday.com
- Coordinate with internal teams (creative, marketing, production) to ensure resources, materials, and messaging are aligned.
- Assist in developing run-of-show documents, site plans, floor layouts, and signage
- Support on-site event execution: set up, breakdown, coordination of vendors, ensuring equipment/AV is functioning, manage registration/check-in, guest experience.
- Arrange and/or manage virtual event platforms, live streaming, hybrid event tech as needed.
- Assist with attendee communication: invitations, RSVPs, confirmations, info packages.
- Post-event: gather feedback, metrics; assist with reporting, debrief, wrap-up tasks; help with storing and cataloguing event materials.
- Support marketing and promotional efforts: social media coordination, content collection (photos/video), collateral materials.
Qualifications & Skills
- 1‑2 years of experience in event planning/support, hospitality, or related (entry‑level to intermediate).
- Excellent organizational skills, attention to detail, ability to manage multiple tasks/projects simultaneously.
- Strong verbal and written communication skills.
- Comfortable problem-solving on-site; adaptable and able to work under pressure.
- Proficiency with event management tools / platforms, Microsoft Office Suite (especially Excel), Google Workspace. Familiarity with virtual event tools (Zoom, and Teams) and AV/production basics is a plus.
- Ability to travel locally / provincially and work flexible hours including evenings or weekends as events require.
- Team player but able to work independently; proactive attitude.
- Strong customer service mindset & professionalism.
Preferred
- Education in Events Management, Marketing, Communications, Hospitality or similar field.
- Experience with trade shows and large-scale corporate events.
- Experience with First Nations communities

Mini Assignment: Planning Support for a First Nations Leadership & Innovation Conference
Scenario:
TAG Creative Strategy has been engaged to support the planning and execution of a two-day First Nations Leadership & Innovation Conference, taking place in Winnipeg, MB. The event will host approximately 200 attendees, including Chiefs and Councillors, youth leaders, Elders, entrepreneurs, and invited guests from government and industry.
The goal of the conference is to celebrate innovation within Indigenous communities, facilitate knowledge-sharing, and create space for meaningful connection. Your role as Events Assistant will be to help the Events Manager with logistics, communication, and on-site coordination.
Your Task:
Create a short proposal that demonstrates your ability to think practically, respectfully, and creatively about event logistics and support.
1. High-Level Planning Timeline
Outline a basic planning timeline (4–6 weeks) leading up to the conference. Include key milestones such as:
- Venue booking
- Vendor coordination
- Guest registration
- Communication with speakers or panelists
- On-site prep and roles
2. Cultural Considerations
List 3 cultural considerations you believe are important when planning a First Nations-focused event. Briefly explain why each is important.
3. On-Site Support Plan
Imagine you’re on-site the day of the event. What are 3 specific responsibilities you would take on to ensure everything runs smoothly and respectfully?
4. Welcome Package Concept
Suggest 2–3 items that could be included in a delegate welcome package, ideally with an Indigenous or locally made focus. Explain your choices.
