Job Summary:
Under the supervision of the Band Representative Manager, the Intake/Reception worker will be responsible for managing the intake process for all current and potential clients of the Band Representative Program, in addition to performing reception duties. This role operates in accordance with legislative requirements, regulations, and procedures, while aligning with the mission, belief and vision of Biigtigong Nishnaabeg.
Skills & Qualifications:
The ideal candidate will meet or exceed the following qualifications. The list of qualifications will be used to develop a screening tool. It is the responsibility of the candidate to communicate their expertise and experience in identified areas.
•Grade 12 or equivalent required
•Post secondary diploma in social work or related field
•Two years related experience in social services an asset
•Excellent organizational skills, time management skills
•Interpersonal skills both verbally and written
•Computer skills (MS word, Excel and outlook)
•Vulnerable Sector Check
•A valid G class driver’s license in good standing
•Access to reliable vehicle and valid insurance policy as travel is required
Intake Worker Responsibilities:
•Answer all incoming calls promptly and professionally, ensuring a welcoming experience.
•Gather relevant client information and schedule appointments as needed.
•Develop and maintain a systematic filing process for all band representative notifications.
•Collect and accurately enter data into the database.
•Conduct initial assessments and screenings of individuals requesting services, identifying needs and situations that may require prioritization.
•Provide referral information for community resources and services when appropriate.
•Respond to band representative notifications promptly and efficiently.
•Assist in organizing and entering closing or inactive file information into the appropriate systems.
•Screen for relevant history, including involvement with child protection, court cases, and mandates related to services.
•Collaborate with community agencies and professionals to establish and maintain effective referral sources.
•Required to travel to Thunder Bay quarterly for file reviews.
•Perform other related duties as assigned or required.
Receptionist Responsibilities:
•Greet and direct visitors, either in person or over the phone, provide accurate information with discretion.
•Address general inquiries and make referrals as necessary.
•Handle all incoming phone calls, directing them to the appropriate team member or taking messages when required.
•Maintain a clean and organized reception area and ensure office equipment is in working order.
•Manage the sorting, distribution, and dispatching of all incoming and outgoing mail.
•Monitor the fax machine for incoming transmissions and send faxes as needed.
•Oversee and update the information bulletin board.
•Stay informed about staff locations, including home visits, meetings, and office events.
•Participate in team development activities and ongoing training.
•Perform additional tasks and duties as assigned.
