George Jeffrey Children’s Centre (GJCC) is a paediatric health facility in Thunder Bay, Ontario providing occupational therapy, physiotherapy, speech-language pathology, social work, recreation, and behaviour support services to children and youth with physical, communication and developmental needs. At GJCC, we are dedicated to supporting the health and development of young children and their families. We are currently seeking a reliable and organized Health Information Services (HIS) Assistant to work as part of our collaborative team. The hourly rate of pay range is $26.38 – $30.44/hour.
Working under the direction of the Manager, Health Information Services, the HIS Assistant supports the efficient management of client health information by maintaining accurate, complete, and secure health records. The HIS Assistant fulfills their responsibilities in accordance with organizational policies, legislated requirements, and professional standards, supporting the delivery of high-quality, family-centred care.
Key Responsibilities:
• Maintains accurate and up-to-date paper and electronic client health records throughout the client care journey.
• Ensures the safekeeping, confidentiality and integrity of all client health information; maintains secure access to records and complies with the Personal Health Information Protection Act (PHIPA) and organizational policies.
• Verifies appropriate consent and authorization prior to releasing client health information.
• Completes client referrals, admissions and discharges.
• Conducts monthly, quarterly, and yearly audit checks of client documentation.
• Orients new staff and students to the HIS department and supports with training on the electronic health record system.
• Provides occasional back-up for reception coverage.
To be considered for this position, candidates should meet the following criteria:
• Holds a diploma or certificate in Health Information Management, Medical Office Administration, or General Office Administration combined with medical terminology and previous experience working in a medical office.
• Minimum of two (2)-years preferred experience working with electronic health record systems and health information management practices.
• Knowledge of Ontario health information privacy legislation, including PHIPA.
• Understanding of health records management principles, documentation standards, and record retention requirements.
• Excellent organizational skills with strong attention to detail and accuracy.
• Ability to prioritize work and manage multiple tasks in a fast-paced environment.
• Ability to maintain strict confidentiality and exercise sound judgement when handling sensitive information.
• Strong interpersonal skills with a commitment to collaborative, family-centred care.
• Effective in a customer service role.
