NorthStream Safety & Rehab is seeking a detail-oriented, reliable, and highly organized Human Resource / Payroll Clerk to support payroll administration, human resource coordination, accounts payable functions, and day-to-day financial administration. This role is ideal for someone who enjoys accurate recordkeeping, confidential administrative work, process follow-through, and supporting both employees and management in a growing occupational health and safety organization.

What You’ll Be Doing
Payroll & HR Administration

·        Support payroll administration, timesheet review, payroll updates, and related employee recordkeeping.

·        Assist with onboarding and offboarding administration, including employment documentation, policy acknowledgements, orientation checklists, and file setup.

·        Maintain organized and confidential employee records, ensuring documentation is complete, accurate, and securely stored.

·        Support HR coordination, including tracking training, credentials, certifications, vacation/leave records, and required employee documentation.

·        Assist with recruitment administration, including posting roles, organizing resumes, coordinating interviews, and maintaining candidate files.

·        Support employee communications, HR forms, policy updates, and general HR administrative processes.

·        Assist with benefits, payroll changes, and employee information updates as directed by management.

·        Maintain a high level of confidentiality and professionalism when handling employee, payroll, and financial information.

Accounts Payable & Accounting Support

·        Review, code, and process vendor invoices for approval and payment.

·        Ensure invoices are approved and paid according to agreed terms.

·        Reconcile vendor statements and assist with resolving discrepancies.

·        Prepare and process payments using approved methods such as EFT, cheque, or online banking.

·        Complete and review expense reports, invoices, and related financial documents.

·        Perform account reconciliations and maintain organized financial records.

·        Support month-end and year-end activities related to payroll, HR records, accounts payable, and general bookkeeping.

·        Assist with reporting related to cash flow, outstanding payables, payroll records, and financial tracking as required.

·        Ensure compliance with internal policies and applicable payroll, tax, HST/GST, and documentation requirements.

·        Assist in other bookkeeping, administrative, or operational support duties as required.

·        Sage Accounting Online

·        Jane

·        Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, and Dynamics

What We’re Looking For
·        2+ years of experience in payroll, human resources administration, accounts payable, bookkeeping, or a related administrative role.

·        Post-secondary education in payroll, human resources, accounting, bookkeeping, business administration, or a related field is an asset.

·        Strong understanding of basic accounting, payroll, and confidential recordkeeping principles.

·        Experience with payroll, accounting, ERP, HRIS, or bookkeeping software is an asset.

·        High level of accuracy, attention to detail, and organizational ability.

·        Strong written and verbal communication skills.

·        Ability to manage confidential employee, payroll, and financial information with discretion.

·        Ability to work independently and collaboratively while meeting deadlines.

·        Comfort working in a fast-paced environment with competing priorities.
