Title: Office Administrative Assistant
Reports To: Office Manager
Location: Thunder Bay – 26 Haniak Road

Job Description Summary
GFL Environmental Services in Thunder Bay is seeking a dedicated Office Administrative Assistant to thrive in our fast-paced and ever-changing environment. In this role, you will ensure the seamless flow of inter-office documentation and serve as a primary point of contact for team members and customers. You will be responsible for managing sales inquiries, resolving service
issues, and routing complex requests to the appropriate departments, all while maintaining professional relationships with vendors and clients.

Key Responsibilities:
● Manage high-volume phone inquiries, providing direct assistance to customers and vendors or
escalating complex queries to management as needed.
● Maintain accurate records within the Operation Management System (OMS), including
onboarding new customers and facilitating credit checks.
● Coordinate customer account setups and schedule updates.
● Audit accounts for discrepancies and performs necessary adjustments to ensure data integrity.
● Act as a primary liaison between the company and customers to resolve routine issues and
improve service quality.
● Oversee documentation and assist customers with required paperwork, including the collection
and processing of feedback forms.
● Investigate and assist with resolving billing discrepancies to ensure financial accuracy while
providing dedicated administrative support to site management.
● Monitor inventory and execute the ordering of office and maintenance supplies.
● Track compliance by assisting management with the monitoring of annual driver training
requirements.
● Coordinate meeting logistics, including invitations, catering, and venue setup/takedown.
● Manage document control workflows, including photocopying, collating, mailing, and
digital/physical filing,
● Work with Accounts Receivable department processing high volumes of credit card payments
● Execute time-sensitive administrative tasks under pressure while maintaining high service
standards.

 

Knowledge, Skills & Key Competencies:
● Experience: 2–4 years of combined customer service experience in a call center or
professional office setting.
● Education: A University degree or College diploma in Environmental Science Technology or a
related discipline is considered a strong asset.
● Technical Savvy: Exceptional computer competence with a working knowledge of Google
Workspace (and a willingness to train on industry-specific systems).
● Communication: Excellent oral and written English skills, paired with strong interpersonal
abilities to foster positive relationships with vendors and clients.
● Mindset: A desire to learn the nuances of our business and the adaptability to handle evolving
priorities with ease.
